Job Title: Payroll Specialist

Job Classification: Full Time Position with Benefits

Location: Victor Office

Overview:
This position reports to the Payroll Manager at our Corporate Headquarters based in Victor, NY. Requirements include strong computer skills, flexibility, attention to detail, excellent interpersonal abilities, and exceptional organizational skills. Successful candidates provide high-level payroll support and have the ability to work well with all levels of internal management and staff.

Responsibilities:
This position will include performing various payroll functions.
These responsibilities/functions may include but are not limited to the following:

  • Gather and organize employee timesheets
  • Accurately input timesheet details into Timberline application
  • Review time entered by other staff members to ensure accuracy
  • Review and correct exception reports to ensure time has been entered to the correct employee for the correct job at the correct pay rate
  • Process payroll in Timberline and submit to ADP for final processing
  • Reconcile payroll in Timberline to ADP and General Ledger
  • Process employee garnishments
  • Distribute pay checks/direct deposit stubs
  • Enter new hire information into Timberline, organize and scan documentation
  • Process layoff checks
  • Process Workers Compensation documentation, process bills for payment, maintain census file
  • Process Disability documentation
  • Prepare and distribute Certified Payroll Reports
  • Prepare monthly Union Reports, reconcile to Timberline, and prepare/distribute checks
  • Prepare and submit monthly State Highway Use Tax reporting (“HUT”)
  • Prepare and submit monthly Federal Highway Use Tax reporting (“IFTA”)
  • Process prior employee checks for new hires with CDL license and file DOT paperwork
  • Manage Fire Alarm badges (including employee fingerprinting and submission to the State)
  • Submit Background Check requests and manage completed checks
  • Process monthly car allowance payments
  • Maintain Union Locals, Classes, Pay Rates, Fringes, and Deductions (including annual/semi-annual rate changes, set up new locals and/or classes, etc.)
  • Maintain payroll tax rates in Timberline
  • Reconcile payroll general ledger accounts
  • Prepare annual Workers Compensation audit documentation
  • Process third party sick pay
  • Prepare and submit weekly/bi-weekly 401K files
  • Manage apprentice evaluations
  • Provide documentation/information for audits, governmental reporting, internal requests, etc., as requested
